This Privacy Policy explains how Robo and AI ("we", "us"), based in Chennai, India, collects, uses and protects information when you use AI Hiring, our AI interviewer for Microsoft Teams, through our website, dashboard and mobile app (together, the "Service"). It covers two groups of people: recruiters who use AI Hiring, and candidates who are interviewed with it.

Information we collect from recruiters

• Account information — your name and email address, entered directly or provided by Microsoft or Google when you sign in with them.
• Company profile — information about your company that you add, used by the interviewer to introduce your company.
• Subscription status — whether your account has an active Pro subscription. Payments are processed by Razorpay; we do not collect or store card details.

Information we process about candidates

When a recruiter uses AI Hiring to interview a candidate, we process, on the recruiter's behalf:

• The resume and job description the recruiter uploads, and the candidate's name and contact details from them.
• The interview — the candidate's spoken answers and the transcript of the Microsoft Teams meeting.
• The results — the score and feedback for each answer and the overall interview report.
• Webcam and screen observations — for video interviews, coding assessments, and voice interviews where the recruiter turns on screen monitoring.

Candidates are told that an AI is interviewing them. The report supports the recruiter's decision; a person at the recruiting organisation reviews it and makes the hiring decision.

How we use this information

• To run the Service: writing interview questions, conducting interviews, transcribing them and producing interview reports.
• To authenticate you and maintain your account and subscription.
• To send emails you ask for or need, such as interview invitations, reminders and password resets.

Where data is stored

AI Hiring runs on Amazon Web Services (AWS) in the Ohio (us-east-2) region in the United States, where account, candidate, interview and report data is stored. AWS encrypts this data at rest, and every connection to the Service uses HTTPS.

Service providers

We use the following providers to operate AI Hiring. Each receives only the data it needs:

• Amazon Web Services (Ohio, USA) — hosting, database and file storage.
• Microsoft Azure — Azure OpenAI (East US) to write questions and grade answers; Azure Speech (Central India) to transcribe uploaded recordings.
• Microsoft 365 — email delivery.
• Recall.ai (EU region) — brings the AI interviewer into the Microsoft Teams meeting and provides the meeting audio and transcript.
• ElevenLabs — turns the interviewer's questions into speech; it receives the question text.
• Razorpay — processes Pro subscription payments.
• Microsoft and Google — sign-in, only if you choose to sign in with them.
• Google Analytics — visit statistics for our website (not interview data).

We do not sell personal information, and interview content is not used for advertising.

Data sharing

Interview content — resumes, transcripts and reports — is available only to the organisation that ran the interview. We do not share it with unrelated third parties.

Data retention and deletion

We keep account and interview data while the account is active, or as needed to provide the Service. A recruiter can delete any interview report at any time, export their data from their account settings, and delete their account, which removes their candidates, interviews and reports and cancels any Pro subscription.

Your choices and rights

• Recruiters can review and update their profile from their account settings.
• Anyone — including a candidate — can ask us for access to, correction of, or deletion of their personal data by writing to the address below. If you were interviewed by a company using AI Hiring, you can also contact that company directly.

Children's privacy

AI Hiring is a business tool for working professionals and organisations. It is not directed at, and we do not knowingly collect personal information from, children.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
